By default, lists in QuickBooks are sorted in a certain preset manner.  For example, the Class list is sorted alphabetically and this sorting also determines the order the classes show up on a report (the P&L by Class for example).

But perhaps you’d like to have them in a different order.  You can!  In the Class list screen, simply click hold and drag the diamond to the left of the class you wish to move to a different order and drop it in the new spot.  This will change the order it shows up in the Class drop down selection in any transaction that calls for a Class AND it will dictate the order that it will be displayed in the P&L by Class report.

Sorting also works this same on your Memorized Reports, so you can sort the reports and report groups you use most to the top of your list.

Additionally, this sort ability is also available for your Item list and even the Chart of Accounts, though you can only sort within the same Item or Account “Type”.  Note too for the Chart of Accounts that we always recommend using accounts numbers and letting the accounts sort numerically.

Look around and see what lists you use in QuickBooks.  If there is a diamond to the left of the items on the list, then that means that you can sort it!
